1. Who we are
Easy Ride Mini Cabs is a trading name of Essex Auto Village Ltd. Essex Auto Village Ltd is the controller of your personal data, which means we decide how it is used and are responsible for looking after it.
If you have a question about this notice or your data, email [email protected] or call 020 8709 2059. You can also write to us at Essex Auto Village Ltd, Office 21, Wellesley House, 98-102 Cranbrook Road, Ilford IG1 4NH.
2. What we collect
- Booking requests and bookings: pick-up and drop-off, date and time, number of passengers and suitcases, the car you choose, your name, your mobile number, your email address if you give one, your flight number if you give one, and any notes you add.
- Payments: when you pay on this website, Stripe takes your card details on its own secure page. We never see or keep your card number. Stripe tells us the amount paid, a payment reference and the email address you gave it.
- Your needs: if you choose to tell us, whether you use a wheelchair, travel with an assistance dog or would like other help (see section 3).
- Business accounts: your organisation’s name, your name, work email, phone number, how many journeys you expect and how your team will use the account, and, once the account is open, the billing details we need to invoice you.
- Messages and complaints: your name, email address, phone number if you give it, and what you tell us.
- Phone and WhatsApp: your number and the details you give us when you call or message.
- Technical: the IP address your request came from, which we use to stop the forms being misused.
3. Information about your needs
Information about a disability or a health condition is special category data under data protection law. You never have to give it. If you choose to tell us about your needs, we use it only to arrange your journey, and we rely on your explicit consent to do so. You can ask us to remove it at any time.
Only our office team and the driver doing your journey see it. We do not use it for anything else, and we delete it with the rest of your booking details (see section 6).
4. Why we use it and our lawful bases
| What we do | Lawful basis |
|---|---|
| Arrange, confirm and carry out your journey, and contact you about it | Contract: we need it to provide the journey you ask for |

| Call you if you start to book on this website but do not finish paying | Legitimate interests: helping you complete a booking you started |
| Set up and run business accounts, including invoicing | Contract |
| Keep the booking records that London private hire operators must keep, and accounting records | Legal obligation |

We do not rely on consent for any of these, apart from information about your needs (see section 3). We do not sell your details, and we do not send you marketing.
5. Who sees it
- Our office team and your driver. The driver doing your journey sees the details needed for it: your name, mobile number, pick-up, drop-off, time, flight number and notes.
- Our website host, which stores the website and the booking records on its servers.
- Stripe, our payment provider, which takes your payment on its own secure page. It receives your card details, the email address you give it, and the booking reference and amount. Stripe handles your card details under its own privacy notice.
- Our email delivery service, which sends the emails about your request and booking.
- Cloudflare, which protects the website from attacks and misuse. Your requests to the website pass through its network.
- Plausible Analytics, if we count visits to the website. It does not use cookies and does not identify you.
- Address and route services. When you type an address, the text you type is sent to postcodes.io and Photon (OpenStreetMap data) to suggest matching places, and the route is checked with a mapping service to estimate the journey time. Your name and contact details are not sent to them.
- Transport for London, which licenses us and can inspect our booking records, and the police or other authorities when the law requires it.
The companies that provide services to us act on our instructions under written contracts that require them to keep your data safe. Some of them may handle data outside the UK. Where they do, we make sure your data has the protection UK law requires, for example through the UK’s approved contract terms.
